Help with CQC fit person interview

Had another interview with CQC today (28th June 2013) and wanted to share with you the questions that were asked of me to help you prepare for yours. My interviewer made me feel relaxed and at ease. So before you begin your interview, just try to regulate your breathing to help you relax. Remember to bring with you the documents that are requested on your interview email/letter.
Not much has changed in the line of questions but I have kept my previous questions on here just in case they do come up to assist you.

Q. What are the principles of care that you provide to the residents that you care for?

Dignity, respect, maintaining personhood and ensuring that the residents recieve individualised care.

Q. Can you talk me through your recruitment process? What checks would you expect to do?

Shortlist applicants, look at experience and relevant training. At interview you can form an opinion as to whether you think they are suitable for the job. Checks that would be undertaken are the DBS checks, identity checks, two references and whether or not they are permitted to work in the UK.

Q. What are you required to report to the CQC?

(Please refer to your statutory notifications). I mentioned the following, any incident reported to the police, allegations of abuse, application and outcome for DOLs, any event that stops the service running smoothly, serious injury, notification of death, if manager is going to be absent from the service for more than 28 days, if manager will no longer be managing service.

Q. How do you ensure that your staff are providing adequate care?
Provision of training, individual and group supervision, direct observation and staff, resident meetings.

Q. What quality measures do you have in place?
Monthly quality audits carried out, resident and staff surveys which include finding out information from other stakeholders, review meetings, key performance indicators. As I have a large home I mentioned that I do daily walk abouts, staff and residents meetings.

Q. What would you do if you had alleged abuse?
Inform police, CQC, notify safeguarding authority, social services, suspend staff if allegation is against member of staff. Follow directives of lead investigating authority.

Q. How do you ensure that information is kept secure?
Information governance is extremely important. We ensure that information is kept secure and that only authorised individuals can look at it. Where a person lacks capacity or is unable to give consent that next of kin and relatives/friends who have power of attorney are made aware of information governance and data protection. Follow procedure of the organisation.

So here are my thoughts and rants to help those of you who are embarking on the role of the Registered Manager.

I think that if you have been a care home manager before, you will have the knowledge and experience to carry you through the interview.

Below is just a rough guide of the questions that we tackled and my answers to them to help you.

Q. Can you tell me a little bit about your home?

(I gave the inspector a brief run down of the home and the staff ratios etc.)

Q. You have been managing the home now for several months, can you tell me what changes you have made and how this has affected the home?

(I gave the inspector an outline of the changes that I had made for example: major changes to the staff units which at first was not well received although it was for the benefit of the home as a whole. There were staff who had resigned or were about to resign at the time that I had started and therefore I had to look at the staff compliment and staff skills and competencies in order to provide a good skill mix amongst the staff. I talked about how this affected the residents and the relatives).

We somehow got onto the topic of abuse (I do tend to waffle) but this answered a set of questions without her having to ask me them.

Q. Can you talk me through the process of how you report abuse?

In the case of alleged abuse, I would notify the local safeguarding authority, the individual’s social worker, the police if necessary, and also inform CQC through the statutory notification which is Regulation 18.

We also talked about person centred planning, deprivation of liberty and best interest. I gave an example of an individual at my home where best interest is used as we were depriving that individual of the right to go out by himself as he had no road safety awareness. Though he was able to access the community when supervised. (Again, although not asked the question, this tackled the topic around mental capacity).

Q. Can you talk me through a learning experience that you have encountered at your home?

I gave her an example of a meeting that I had with all my direct reports and one staff member had made another staff member very upset. On reflection I could have tackled the situation in a different manner but this was a learning curve for me.

I also discussed with the inspector issues around medication and how I ensure that medication is administered safely.

I referred to the medication policy and procedures and the fact that we do monthly audits on the medication to pick up any anomalies. If there are any, an action plan is put into place to ensure that the anomaly is rectified. I also ensure that staff are trained on the safe handling of medication, checking of medicines is carried out by two members of staff.

Q. How do you ensure that residents views are taken into account?

By holding regular resident meetings, ensuring that the complaints procedure is robust and adhered to. By putting an action plan together if the complaint is substantiated in order to ensure that the issue or complaint has been rectified or met. Holding manager surgeries which I have on a Thursday afternoon although I do walk around the building and get to talk to the residents and relatives to ensure that they are satisfied with the care that is being provided. We are also recruiting for a resident and relative representative within the home whereby relatives or residents can go to the specific person to discuss their concern should they feel that they are unable to talk to a member of the staff team. Lastly resident surveys on their home, actives that are being provided, food and quality of care. It’s not just about the collection of the surveys but what you do with that information. Hence an action plan would be formulated to carry out the expressed opinions of the residents as far as reasonably practicable.

The inspector did say that she would be recommending me for registration which made me smile from ear to ear.

I dare say that the above is exhaustive but hopefully it will give you a heads up on the process of the CQC fit persons interview.

    Hi

    I am very nervous about the whole process !! Ive been a deputy for a year now and feel capable of running the home im in. Im not necessarily bothered as such for the interview, but i understand they ask for medical reports etc?……i had suffered with depression about 18months ago 😦 Do they request a full history ?

      Hi Lee,

      Yes. At the beginning of the registration process, you are asked to obtain a medical report from your GP. Here is a link to the form that you are asked to hand to your GP:

      They can tell you at the end of the interview that they will be recommending you for registration but the final decision is usually made by someone else taking into account everything in your application. When they say that they will recommend you…its usually a good sign 🙂

      It really depends what sort of relationship you have with your GP. I handed mine to the receptionist and asked her to give it to the GP. I had to pay an administrative fee for this about £60. The GP is unlikely to write it during your appointment . It usually takes a couple of weeks to get it back.

    Thank you for the feedback on your experiance of the interview.My interview is on the 4th of August but i know i’m going to leave my brain outside and wobble greatly as my feet leave me also!!…….Oh hum!

    I plan to revise the books and try to cram some more knowledge into my non functional brain….do you think my interviewer will mind if i take in some notes just to jog my memory?

    i had my fit person interview last Thursday and if u know what u r doing, its easy.
    they asked about residents meetings, how u ensure u service users are assured of a quality care, staff, how u ensure suitable people and asked what notifications u must tell cqc,which of course is, change of statement of purpose to put u name and details on, if u r going to be off 28 days or more u have to inform them, and if its an emergency, u have to tell them in 5 days, inform them change of provider, just talk about the place in general, they will pick a lot up. at the end he said he would be recommending me for registration, wow !!!! i asked how soon could we be running as it is a new build and needs an inspection, said he was dealing with that as well, and didn’t think he needed to do a visit, that as soon as my certificate came thru, we could take over. went really smooth

    I have my fit persons interview,on the 11th nov,ive been looking@ the PCA’S,ALSO THE HEALTH& SOCIAL CARE ACT 2008,please can some advise me any more,do i need to learn all this health& social act,sorry if i sound daft,but i dont understand this act really,so any thoughts please??

      Hi Amanda – I think the main thing with regards to the Health and Social Act is that you know that it is there and should you need to refer to it you know where to go to. You will find that a lot of managers don’t know the act inside out but it is there for guidance and reference. There is a lot going on (particularly in my area) around ‘Best interest’ at the moment and the Mental Capacity Act with regards to SOVA so just clue yourself up on Regulation 18, statutory notifications and how Best interest could affect that. Hope all goes well for your interview on the 11th.

      Hi Richard, the questions that you might be asked are on this blog and the interviewer will usually tell you whether or not they will be recommending you. Most of the managers that I have spoken to usually know by the end of their interview. Hope all goes well for next Thursday.

    Next week I am attending an interview in London to establish my suitability to take up a position within the Expert By Experience scheme .

    Web searching for information to give the correct answers to the interviewing panel I came across this “coffee break” site and commend it highly for the information that can be extracted by viewing readers letters !

    Start with the 12th Feb first contribution and your concerns will soon be allayed.

    My advice :- Be yourself and be honest in your replies . If you don’t know , don’t try and bluff your way through.

      Hiya Lauren

      Usually CQC will invite you to have your interview at their regional office. However, I have heard of instances where they do interview at the work place but usually make an appointment to do this.

      I had mine in July this year, the lady I had didn’t make it formal and it was more like a conversation than anything. She asked me how I would report suspected abuse; how I promoted equality; how I make sure my residents get choice in their care, my future plans and about the company and home I work for. She told me there and then that I had passed. It’s not as bad as you think it is going to be. Good luck and let us know!! Xx

    They came to see me at my workplace yesterday- was a bit worried about this but it went ok. She said she could not tell me whether I will be registered but she could tell me if she had any concerns and she said she had none – so hopefully all tickedy boo.

    Hi i am awaiting a date for my fit persons interview. I am new to Childrens homes regulations etc but have a general understanding.I am familiar with the homes statement of purpose and the care standards but i am a little concerned that i will be asked to real of certain regulations!! Are these part of the fit persons questions?

      Hi Susannah
      Usually the statement of purpose and the care standards are not asked. However, there is an expectiation that you would know these anyway. In general, the inspectors would like to know that you would be fit to run the home in any given scenario. Hope that helps

    hi, i am having my fit person assessment tomorow morn and have been busily reading the care standards act,albeit confusing myself somewhat..!! however coming across this thread has eased my nerves slightly and when u look at th situation i guess the care standards act is what we carry out daily as managers its only as were being tested on it to a degree that we feel unease… im sure it will be fine and if we dont know the answer to a situation directly then that is what cqc and the care standards act is inevitably there for 🙂 ahh well guess il see what tommorow brings

      Hi Laura, you will be fine, I had my interview last may. The interviewer just asked me about the home; what would I do if I had to report abuse or safeguarding issue; asked me about respect and dignity and just chatted in general about my work experiences.
      She also told me that I had passed straight away which was a relief, just relax (easier said than done I know) and be confident in your answers. Let us know how you get on! Lauren xx

    Hi Laura you’ll be fine … you’re right it’s based on exactly what we do and should know in our day to day work. My interview lasted just over and hour and was no where near as scary as i thought it would be. I passed mine and the best bit was she told me there and then! Good luck 🙂

    Hi all i had my fit persons interview last Monday and she told me she would be recommending me. Does anyone know how log it takes for the confirmation to be sent through? She said the certificate could take months but the email with verification is more important I am still really panicking as i haven’t received it.

      Try not to worry Angela (easier said than done I know!) the interview is really relaxed and they want you to get through it. They allow for nerves… you’ll be fine 🙂

    Hi Every one, I have my interview on Thursday and i’m a nervous wreck, My company can not really help me as i’m the first one to do it.
    I have read the blog and comments and it all sounds so easy, and i know what i need to say, but i did a practice interview and my words made no sense.
    I had a message from the CQC telling me what i should read and catch up on, but most of it is a blur after about the 3rd page. I’m going to be the registered manager of a domiciliary care agency and not a care home, so would the questions be different?
    I have been in care for 5 years i know the companies policies and procedures but the CQC women has told me to read-

    • Health and Social Care Act 2008
    • Health and Social Care Act 2008 (Regulated Activities) Regulations 2010
    • Care Quality Commission (Registration) Regulations 2009.
    • Guidance about compliance

    i can’t seem to read them and explain what they mean even though i do know what they all mean, I think it might just be nerves but i can’t sleep, its just awful!

        Had my interview today, it was absolutley fine, I was dreading it but made to feel very comfortable . Lasted a couple of hours but went very quickly M C A, best interest, dolls and safeguarding were focused on , and all other questions were around the outcomes and evidence.

    I am in process of setting up a domiciliary care agency in the south west and have a visit from cqc next week. I am very nervous and not sleeping thinking I will not get something right so keep going over everything but it just wont go in and stay there. I would appreciate any advise anyone can give.

      Hi Sam, yes my interview went really well. He said it would be pretty smooth sailing and didnt forsee any issues although my formal notice of registration would be given in 2-3 weeks time. I forgot to mention and will edit blog about information governance. How do you assure that information is kept confidential? I think particularly in your case about securing staff information and ensuring that authorised individuals have access to it. Refer to Caldicott Principles and where others request for information that you have policies and procedures in place particularly if a person lacks capacity and is not able to give consent.

    glad everything went well for you. I only have a few more days left now just getting everything together but nothing seems to be going my way so hope this is a good sign for me that the day will go fine well one can hope. I am still so nervous. what kind of questions did you get asked? Do they mind if you look at notes because I know I wont be able to answer it will just be a blank. How long do they normally stay?

    Hi All,
    Just to let everyone know I received my registration this morning from cqc so I am now a registered domiciliary care agency in Mid Devon. I have my interview last Tuesday and all went well they were very nice and surprisingly I was relaxed after about five minutes which reassured me it would be fine. All the questions were around the essential standards.

      When I set up my care home, I was registered as proprietor and manager and one is able to do the same now. I think that its great that you are studying NVQ in health and social care management but I wasn’t too sure about your experience question. If I understand your question correctly, experience in the care setting is an absolute must. I would not advise going into proprietorship/management first without getting the experience first.

      Hi Suzi

      The principles of care and managing people within care are pretty much the same but it is important to just quickly go through the minimum standards to ensure that you have everything covered. I think its best to go with the flow rather than have your notes in front of you so that you can concentrate with the questions that are said to you, otherwise you might be looking for the answer to what your question relates to and there is the chance of confusion. I am sure that you will be just fine. Best of luck with your interview tomorrow 😉
